Subscription & Billing

Manage your Flowxtra subscription, payment methods, and billing information. This guide covers plans, pricing, and billing management.

Subscription Plans

Free Trial

14-day free trial for all new accounts:

  • Full access to all features

Starter Plan

For small teams (1-10 employees):

Upgrade Recommendations

Choose Starter if:

Managing Subscription

View Current Plan

Check your plan in Settings > Subscription:

  • Current plan name
  • Billing cycle
  • Next billing date
  • Usage statistics
  • Plan limits

Upgrade Plan

To upgrade your plan:

  1. Go to Settings > Subscription
  2. Click Upgrade Plan
  3. Select new plan
  4. Choose billing cycle (monthly/yearly)
  5. Review changes
  6. Click Confirm Upgrade

What happens:

  • Immediate access to new features
  • Prorated billing for current period
  • New limits apply immediately

Upgrades are prorated. You only pay the difference for the remaining billing period.

Downgrade Plan

To downgrade your plan:

  1. Go to Settings > Subscription
  2. Click Change Plan
  3. Select lower plan
  4. Review limitations
  5. Click Confirm Downgrade

What happens:

  • Takes effect at end of billing period
  • Keep current features until then
  • Credit applied to next bill
  • May need to reduce active jobs

Ensure you're within new plan limits before downgrading (e.g., reduce active jobs if needed).

Cancel Subscription

To cancel your subscription:

  1. Go to Settings > Subscription
  2. Click Cancel Subscription
  3. Select reason (optional)
  4. Confirm cancellation

What happens:

  • Access continues until end of billing period
  • No further charges
  • Data retained for 30 days
  • Can reactivate within 30 days

Billing Management

Payment Methods

Add Payment Method

  1. Go to Settings > Billing
  2. Click Add Payment Method
  3. Enter card details:
    • Card number
    • Expiration date
    • CVV
    • Billing address
  4. Click Save Card

Supported Cards:

  • Visa
  • Mastercard
  • American Express
  • Discover

Update Payment Method

  1. Go to Settings > Billing
  2. Click Update next to card
  3. Enter new card details
  4. Click Save

Remove Payment Method

  1. Must have another payment method first
  2. Click Remove next to card
  3. Confirm removal

Billing Information

Update billing details:

Company Information:

  • Legal company name
  • Tax ID / VAT number
  • Billing address
  • Contact email

Invoice Preferences:

  • Invoice email recipients
  • PO number (optional)
  • Custom notes

Invoices

View Invoices

Access all invoices in Settings > Billing > Invoices:

  • Invoice number
  • Date
  • Amount
  • Status (Paid, Pending, Failed)
  • Download PDF

Download Invoice

  1. Click invoice number
  2. Click Download PDF
  3. Save to your computer

Invoices include:

  • Itemized charges
  • Tax breakdown
  • Payment method
  • Billing period

Billing History

View complete billing history:

  • All charges
  • Refunds
  • Credits
  • Failed payments
  • Plan changes

Usage and Limits

Monitor Usage

Track your usage in Settings > Subscription > Usage:

Current Usage:

  • Active jobs: X / limit
  • Applications this month: X / limit
  • API calls: X / limit
  • Storage used: X / limit

Usage Trends:

  • Daily/weekly/monthly graphs
  • Historical data
  • Projected usage

Overage Handling

What happens when you exceed limits:

Active Jobs:

  • Cannot create new jobs
  • Must close or delete existing jobs
  • Or upgrade plan

Applications:

  • Soft limit with overage fees
  • $0.50 per additional application
  • Or upgrade to higher plan

API Calls:

  • Rate limiting applied
  • Upgrade for higher limits

Monitor usage regularly to avoid service interruptions or unexpected charges.

Billing Cycles

Monthly Billing

  • Charged every month
  • Cancel anytime
  • Flexible for short-term needs
  • Higher total cost

Annual Billing

  • Charged once per year
  • Save 20% vs monthly
  • Best for long-term use
  • Commitment required

Switching Billing Cycles

Change from monthly to annual:

  1. Go to Settings > Subscription
  2. Click Switch to Annual
  3. Review savings
  4. Confirm switch

What happens:

  • Immediate charge for annual plan
  • Credit for unused monthly time
  • New annual renewal date

Payments and Charges

Automatic Billing

Payments are processed automatically:

  • On your billing date
  • Using default payment method
  • Email receipt sent
  • Invoice generated

Failed Payments

If payment fails:

  1. Email notification sent
  2. Retry after 3 days
  3. Second retry after 7 days
  4. Account suspended after 14 days

To resolve:

  • Update payment method
  • Contact your bank
  • Pay manually
  • Contact support

Refunds

Refund Policy:

  • 30-day money-back guarantee
  • Annual plans: Prorated refund
  • Monthly plans: No refund for current month
  • Overage charges: Non-refundable

Request Refund:

  1. Contact support@flowxtra.com
  2. Provide account details
  3. Explain reason
  4. Refund processed in 5-7 business days

Tax and Compliance

Sales Tax

Sales tax applied based on:

  • Billing address
  • Local tax laws
  • Business vs personal account

VAT (EU)

For EU customers:

  • Provide VAT number
  • Reverse charge if valid
  • VAT shown on invoices

Tax Exemption

If tax-exempt:

  1. Contact support
  2. Provide exemption certificate
  3. Update billing settings

Enterprise Billing

Custom Contracts

Enterprise plans include:

  • Custom payment terms
  • Net 30/60/90 payment
  • Purchase orders
  • Wire transfer option
  • Multi-year contracts

Volume Discounts

Available for:

  • Multiple accounts
  • High usage
  • Long-term commitments
  • Referrals

Troubleshooting

Payment Declined

If payment is declined:

  1. Verify card details
  2. Check card balance
  3. Contact your bank
  4. Try different card
  5. Contact support

Billing Discrepancy

If you notice incorrect charges:

  1. Review invoice details
  2. Check usage statistics
  3. Contact support with:
    • Invoice number
    • Expected amount
    • Actual amount
    • Explanation

Cannot Cancel

If unable to cancel:

  • Must be account Owner
  • Resolve outstanding balance
  • Contact support for help
